Octawerks · Discovery & Automation Audit (in-depth)

Find out exactly where your business is losing time and money, with the numbers to prove it.

A calendar and a cup of coffee, planning a work session

Most businesses should start with the Revenue Leak Audit instead.

This page describes our full, in-depth business process review: eight working days, four conversations, and a spreadsheet across your whole operation. If you want a faster, dollar-quantified answer on where money is leaking between enquiry and payment first, the Revenue Leak Audit is our primary audit offer and the right place to start.

This in-depth review suits businesses that already know they need a full operational audit, not just their quote-to-cash numbers. Not sure which fits? Book a call and we will point you to the right one.

What the audit covers

Three lenses. One business.

We don't run a generic checklist. Every process gets held against three questions: is money moving slowly, are hours disappearing, and where could one mistake cost you a client or a compliance headache.

Cash flow

Where money is stuck

Invoice timing, payment chasing, no-show and cancellation patterns, how long it actually takes from job done to cash in the bank.

Cost

Where hours disappear

Quoting, scheduling, data entry, and the follow-ups your team does from memory instead of by system.

Risk

Where mistakes creep in

Missed deadlines, compliance steps that rely on one person remembering, and the handoffs where information gets lost.

How it works

Four steps. Eight working days. No guesswork.

This is a proper audit, not a chat over coffee. We go into your actual data and watch the actual work before we write anything down.

Step 01

Four conversations

With you, and with the people who actually do the work. Not just management. The people entering the data, chasing the invoices, answering the phone.

Step 02

Three months of your data

Your job, invoice and volume records, reviewed line by line. Two of your processes recorded on screen. One conversation with whoever manages your systems or IT.

Step 03

The analysis

Every process assessed, costed, and placed in one of three buckets. Your numbers built into a working spreadsheet you can re-run yourself.

Step 04

The walkthrough

A 45 minute session where we go through the report, the spreadsheet and the recordings together. Not an emailed PDF you have to decode alone.

The deliverable

What's actually in your report.

An 8 page written report, a live savings spreadsheet, screen recordings of your own processes, and a 45 minute walkthrough. Six parts, all built from your own numbers.

  1. The decision sheet. One page. The three biggest problems we found, with a dollar figure on each, and the total annual cost of doing things the way you do them now. What to fix first, what it costs, and what it costs you to do nothing.
  2. The evidence table. Every process we looked at, one row each: volume per month, minutes per job, how many people touch it, how often it goes wrong, which systems are involved, and the annual cost. A footnote explains how each number was counted.
  3. The three-way split. Every process placed in one of three buckets: automate now, fix without automating, or leave alone. The leave alone list is always there, because not everything should be automated.
  4. The target-state flow. For your top two opportunities, a simple diagram showing what triggers the process, what happens at each step, and where a person still checks the work.
  5. The savings model. A working spreadsheet, not a static number. Volume, hourly rate and time per job are editable, so you can plug in your own assumptions. Cash you could recover and time freed up, reported separately, and shown as a range.
  6. The roadmap. Now, next, later. Each item with an owner and a rough cost, so you know what to do first and what can wait.
Is this right for you?

Built for owners who know something is slow.

You know your evenings and weekends are going to admin that should not need a person. Quotes, invoices, scheduling, chasing replies. You are just not sure which part to fix first, or whether automation is even the right answer for your business.

That is exactly what this audit is for. We are not trying to sell you a big system. We are trying to find the fixes that actually move the needle, and put a real number against each one.

Darryl runs every session personally. No account manager, no handoff to a junior analyst who has never run a business under pressure.

Being upfront

Who this isn't for.

If your business runs on processes that don't really exist yet, this isn't the right starting point. There's nothing consistent enough for us to measure.

If you've already automated the obvious things and want a technical build rather than an audit, go straight to a build conversation instead.

If you can't give us three months of data, time from your team for four conversations, and access to whoever runs your systems, the audit won't have enough to work with.

And if you want someone to tell you "automate everything" regardless of what the numbers say, that's not how we work. Sometimes the honest answer is to leave a process alone.

Common questions

What people ask before booking.

Fixed price, quoted in writing before anything starts. If you go ahead with a build afterwards, the full audit fee is credited against it.

Access to three months of your job, invoice and volume data, time from you and your team for four conversations, two processes we can record on screen, and a contact for whoever manages your systems or IT.

No. The report, the spreadsheet and the recordings are yours regardless of what you decide. There's no pressure to move to a build.

We'll tell you. That's the honesty promise. If the numbers don't stack up, you'll hear that directly, not a report padded out to justify the fee.

We work from your actual job and invoice data, not interviews and assumptions. Everything in the report ties back to a number you can check. And it's software-agnostic: we work with the tools you already run, not a new platform we're trying to sell you.

Eight working days from the first conversation to the delivery walkthrough.

Darryl runs every session personally. No account manager, no junior analyst handing it off.

You keep the report, the spreadsheet and the recordings either way. If you want to move on any of the roadmap items, we can talk about a build. If not, that's the end of it.

See where the time and money are going, honestly.

Four conversations. Three months of your own data. Eight working days. One straight answer.

$1,250 USD founding rate, first 10 clients in New Zealand and Singapore. Normally $2,500 USD. All prices in USD. Credited against the build if you go ahead, and if we do not find leaks worth 3x the fee, you do not pay.
