(UEN 202405264N), a company incorporated in Singapore (“Octawerks”, “we”, “us”, “our”) operates octawerks.com (the “Site”) and provides process automation and custom software services to businesses in Singapore, New Zealand and elsewhere (“Services”). This Privacy Policy explains what personal data we collect, how we use it, and the choices and rights available to you.

This Policy is drafted with reference to Singapore’s Personal Data Protection Act 2012 (PDPA) and New Zealand’s Privacy Act 2020, reflecting the two markets we primarily serve. By using the Site or engaging our Services, you agree to the practices described below.

1.1 Information you provide directly

  • Contact and enquiry forms — name, email address, phone number, business name and the details of your enquiry, when you submit a form, use our on-site chat widget, or book a consultation via Cal.com.
  • Calculators and interactive tools — inputs you provide to tools such as our Admin Cost Calculator or ROI Calculator, and the contact details you supply to receive results.
  • Client and engagement data — information you share with us in the course of scoping, delivering or supporting a Service, which may include operational, financial or systems information relevant to the automation work engaged.
  • Correspondence — records of emails, calls and messages between you and Octawerks.

1.2 Information collected automatically

  • Cookies and local storage — we use strictly necessary cookies and local storage to operate the Site (for example, to remember that you have dismissed the cookie notice) and, where applicable, performance cookies to understand how the Site is used.
  • Technical data — IP address, browser type, device information, pages visited and referring URLs, collected via standard server and hosting logs.

1.3 Information from third parties

Where you book a consultation through Cal.com, or where a third-party service you use forwards your details to us with your consent, we may receive your name, email address and scheduling information from that provider.

2. How We Use Your Information

We use personal data to:

  • respond to enquiries and provide quotes or proposals;
  • deliver, administer and support the Services you engage us for;
  • operate the on-site chat widget and calculator tools you choose to use;
  • schedule and manage consultations and meetings;
  • maintain the security, performance and functionality of the Site;
  • comply with our legal, accounting and regulatory obligations; and
  • with your consent, send relevant updates about our Services.

We do not sell personal data, and we do not use it for third-party advertising or ad-targeting purposes.

4. Sharing and Disclosure

We do not sell or rent personal data. We may share information with:

  • Service providers we engage to run our business, such as our hosting provider, email provider, scheduling provider (Cal.com) and workflow/automation tooling used to route enquiries to our team. These providers are only permitted to use your data to perform the service they provide us.
  • Professional advisers such as accountants or legal counsel, where necessary.
  • Authorities where required by law, regulation, or a valid legal process.
  • A successor entity in the event of a merger, acquisition or sale of business assets, subject to the same protections described here.

Some of the service providers referenced above may process data on servers located outside Singapore or New Zealand. Where this occurs, we take reasonable steps to ensure your data continues to receive a comparable standard of protection.

5. Cookies

The Site uses a small number of cookies and browser local storage. Strictly necessary items (such as remembering your cookie preference) do not require consent.
