The work is done. The invoice is still sitting in someone's to-do list.

Delivered work waits days to be billed, reminders go out when someone remembers, and overdue accounts build up quietly. Octawerks makes invoicing and collections run on their own from the records you already keep, in the accounting system you already use.

Where the cash leaks

The gap between finishing the work and getting paid for it.

A job wraps on Tuesday. The invoice depends on someone pulling the details together, and that someone is busy, so it goes out the following week. The clock on getting paid only starts then.

Once it is out, the reminders are manual too. A polite nudge at seven days, a firmer one at fourteen, a phone call at thirty, all of it depending on someone watching the aged receivables and finding the time.

This is not a bookkeeping problem. It is a process problem. Every day between the work and the invoice, and every missed reminder after it, is a day your money sits in someone else's account instead of yours.

What we automate

Five steps from delivered work to money in the bank.

We connect your job or project records to your accounting system and remove the manual steps in between.

01
Invoices raised the day the work is done

When a job or milestone is marked complete, the invoice is drafted from the record and your rate card, ready to send or sent automatically.

02
Reminders on a schedule, not a whim

Payment reminders go out on a set ladder, in your tone, and stop the moment the invoice is paid. No one has to watch the aged receivables.

03
Overdue accounts escalated clearly

Accounts that pass each threshold move up a defined path, from gentle nudge to a flagged call list, so nothing slides quietly past ninety days.

04
Payments matched and reconciled

Incoming payments are matched to invoices and flagged where they do not line up, cutting the manual reconciliation each week.

05
The weekly numbers, without the spreadsheet

Cash in, cash owed, average days to pay and what is overdue, pulled into a simple weekly summary.

How it works

First workflow live in two weeks. No big projects.

We do not try to fix everything at once. We start with the step costing you the most, prove it works, then build from there.

Step 01

The audit

Tell us how this works in your business today, end to end. We ask the right questions. No pitch, no obligation. You leave with a clear view of where the hours and the money are going.

Step 02

We map your tools

We identify the one thing to fix first and show you exactly what we will build, on the systems you already run. You get a written plan. No obligation to proceed.

Step 03

We build it, and it runs itself

We connect your existing tools and remove the manual steps. Most first workflows are live within two weeks, with measurable results inside the first month.

Is this right for you?

Built for businesses that invoice for delivered work and chase payment by hand.

You raise invoices from jobs, projects or milestones. The information exists in a job system or a set of records, but turning it into an invoice, and then chasing that invoice, is manual and it slips.

You already have an accounting system. It does far more than most businesses set it up to do. We connect your job records to it, automate the raising and the chasing, and keep a person on the approvals that need judgement.

Every unbilled job is an interest-free loan to your customer. Every skipped reminder is money you chose not to ask for. These are process problems, and process problems have process solutions.

Common questions

What owners ask us first.

Do I need to change my accounting system?

No. We connect to Xero, MYOB, QuickBooks and the others. If we ever think a different tool would genuinely serve you better we will tell you and leave the decision with you.

Will automated reminders upset my clients?

The tone is yours, the timing is set with you, and reminders stop the instant an invoice is paid. Most clients simply pay sooner because the nudge is consistent and polite.

Can I approve invoices before they go out?

Yes. You can run it fully automatic, or with a quick approval step on invoices over a threshold you set. You stay in control.

What does it cost to start?

Start with the audit. You get a written report ranking your biggest leaks, and it comes off the build if you go ahead.

Do you only work with businesses in one country?

No. We work remotely with businesses wherever they are. The process is the same.
